Welcome the GKGHA FAQ page. Here you will find answers to questions that league executives and convenors often face. This page will be updated throughout the season with content from other teams/leagues.

How is ice allocated? - The City owns and operates 4 arenas with 8 ice pads.  Ice is allocated to partner groups (including GKGHA) through a Council-approved Ice Allocation Policy with consistent fees, standards and operations. Ice allocation is based on several factors, including historical and projected registration data, age of participants, and level of play. A proportionate use formula achieves equity for both boys and girls and allocations are evaluated annually.

After GKGHA receives its annual allocation of ice from the City, it is the responsibility of the Scheduler (in consultation with the VP’s and Convenors) to assign ice to the various programs and teams within GKGHA. Each team is budgeted a specific amount of ice for the season (based on the City’s Ice Allocation Policy) and player fees are based on this budget. Ice allocation within GKGHA is a detailed process, and takes into consideration both historical precedent and the specific needs of individual programs and teams. Demand for ice consistently exceeds the amount of ice available, so it is important for GKGHA to utilize all of the ice made available to it, with the understanding that not all ice is equal and some dates and times are more desirable than others.

Additional ice over and above the City’s allocation may become available over the course of the season.  Individual teams are responsible for researching and requesting this ice, and will be billed for the extra cost. All requests for additional ice must be made through the Scheduler or the VP, Administration.

Dealing with suspensions
Follow the steps below when it comes to reporting a suspension for Rep and/or Houseleague teams.

1) Insert details of the suspension in the email template below and send to:
stats@owha.on.castats@llfhl.casleu@owha.on.ca; and gkghaowrep@gmail.com

2) A copy of the game sheet must be attached. Suspensions must be reported within 24 hours of the occurrence.

4) stats@owha.on.ca will respond to the above email, confirming the length of the suspension. The email should indicate that the player can return to play once the suspension has been served, provided that game sheets are submitted on time.

5) For each game of the suspension:

  • Fill in 'serving x of y' in the signature spot of the game sheet for the suspended player
  • Do not cross the suspended player out
  • Take a picture of the completed game sheet and send by email
​6) Other important notes:
  • The suspension starts with the game following the game the suspension was called
  • Exhibition and tournament games may not be played while under suspension. Exhibition games do not count towards games served in a suspension but tournament games do count
  • The player may participate in all team activities except games. They are not permitted near the dressing room or bench on game day
  • Pick up players are not permitted to replace players serving a suspension

Where do Injury Reports go? - All Injury Report forms go directly to OWHA.

When are Injury Reports done? - Injury Report Forms are to be filled out if medical attention was needed (i.e. Ambulance or player out of sport for a long period of time).

Where can I find the Injury Report form? - The Injury Report form is found on page 27&28 of the trainer’s manual or on the OWHA website.

Do I have to keep track of each time I go on the ice to assist an injured player? Yes. Trainers are to keep track every time they go on the ice using the Injury log found on page 21 in the trainer’s handbook.

What do I do about suspected concussions? ­- The player would go to the hospital or their family doctor, who would referred them to Kingston Orthopaedic & Pain Institute (KOPI) who then would assess the concussion with the baseline testing.

When is the player allowed to return to play after a concussion? - The player would receive a Return the Play letter when the doctors at KOPI declare fit. Return to play forms are found in the trainer’s manual on page 109. Keep all KOPI baseline testing in your files.

Do players always have to wear full equipment? Yes. All equipment must be worn on the ice even if it’s just for a skate for return to play players

Are players required to wear mouth guards?  - No, players within the GKGHA are not required to wear mouth guards. However it is highly recommended to wear one.

What is the DS program?
The DS program is meant to provide additional opportunities for house league players who wish to further develop their skills through participation on a second team which runs from November until April.

DS can provide the extra skills required for players to move into Rep. programs, however the main focus is on the development of skills for house league players.  The DS program will follow the rules of the GKGHA house league plan and will follow a “fair play principle”.

DS players should expect the following:
-        Approximately 1 weekly practice from Mid November until late March
-        A maximum of 8 exhibition games
-        A maximum of 3 tournaments

Senior House League FAQ

When can I register? - Mid-July – August

How much does the season cost? - $550

How long does the season run? - September – March

How many teams are in our league? - We are in the process of adding another team to our league, so there will now be 7 teams

When do we play? - In the evenings on Mondays, Wednesdays (alternating), and Thursdays

How far will we need to travel?
Home games are held at the Swish Arena at the Invista Center in Kingston, ON.
Away games are held at the Frontenac Community Arena in Piccadilly, ON, and at the Constantine Arena on the base in Kingston, ON.

What is the age range of this league? - 18+

What is the calibre/ skill level of the league? - We have a WIDE range of players within our league: some who are new to the game of hockey, some who have played for years, some who have played house league, some who have played rep/ competitive, and some who have played varsity.

CPIC and RIS FAQ’s

Who requires a Criminal Records Check:  The following individuals must submit a Criminal Records Check (CPIC) and a Vulnerable Sector Screening (VSS):  Team officials (including but not limited to head coaches, assistant coaches, trainers, managers, dressing room supervisors and on-ice helpers); members of the board of directors and anyone else who, through their duties on behalf of the GKGHA may work with children.

How often is a Criminal Records Check Required:  CPIC’s and a VSS are to be submitted to GKGHA in the six (6) months prior to submission.  Every three (3) years following the initial check, a person identified above need only to complete a CPIC.  (Example: Year one CPIC/VSS, year two Criminal Offence Declaration Form (CODF), year three CODF and year four CPIC.  Any person that has been away from the organization for more than one year is required to submit a CPIC and VSS upon their return.  All CPIC’s and Respect in Sports (RIS) or Speak Out must be submitted no later than November 1st.  Failure to do so will mean the team official is immediately removed from the roster and will no longer be able to participate in team activities and will not be re-added to the roster.

Who Keeps the CPIC’s:  The GKGHA VP Admin shall receive all CPIC’s and keep the content confidential. 

Where Can I find the Criminal Offence Declaration Form:  The form can be found in the OWHA Handbook, Appendix C – Risk Management Tool & Rating or on our GKGHA website in the “Coaches Corners” tab.

Who requires Speak-Out or Respect in Sports (RIS):  All team officials, including but not limited to head coaches, assistant coaches, trainers, managers, dressing room supervisors, on-ice helpers; members of the board of directors and anyone else who, through their duties on behalf of the GKGHA may work with children.

Where can I find the Respect in Sports Course:  Respect in Sports can be taken online.  You can find the link to the Respect in Sports course on the home page of the OWHA website. 

Does GKGHA Reimburse for CPIC’s and RIS:  Yes, GKGHA will pay for these documents.  Receipts must be submitted and can be sent to your divisional convenor.
